Academy Bank's 2026 Payment and Cash Flow Survey captures the picture clearly, and the findings point to a straightforward conclusion: the right business checking account can do a lot more than just hold money.
Most business owners aren't using one system to manage their money — they're more likely to be using five. Online banking in one tab, invoicing software in another, a spreadsheet for tracking cash flow, a separate platform for card processing … and accounting software to pull it all together at the end of the month.
This disjointed approach is time-consuming. When invoices live in one place, payments arrive through another, and reconciliation happens somewhere else entirely, routine financial tasks take far longer than they should. The survey found that nearly one in three businesses still rely on spreadsheets to manage their finances, and 13% still use manual or paper-based processes.
Which means business owners are spending less time running the business and more time chasing numbers.
Knowing where your business stands financially on any given day shouldn't be a guessing game — but for many business owners, it is. About 35% of survey respondents said they weren't fully confident in their day-to-day cash flow visibility.
That uncertainty comes from scattered data. When your business banking, payment processor, and invoicing tool aren't connected, there's no single place to see what's been paid, what's pending, and what's overdue. Decisions about vendor payments, hiring, or growth investments get made with incomplete information, and this carries real risk.
More than 86% of business operators in the survey expressed concern about fraud or unauthorized transactions.
And the continued reliance on paper checks is a significant contributing factor. Checks expose sensitive account information and are vulnerable to interception and alteration in ways that digital payment methods simply aren't.
Many businesses have taken steps to protect themselves through payment approval controls and activity alerts, but fewer than 25% use account blocks or transaction limits — one of the most effective fraud prevention tools available.

When asked which improvements to their business banking workflows would be most helpful, 69% of respondents selected faster, more reliable customer payments; this was the top response by a wide margin. Better fraud protection followed at 54%, and easier vendor payments came in at 46%.
The common thread across all three: businesses want their financial tools to work together, not against each other. They're not looking for another app — they're looking for a better workflow built into the banking relationship they already have.
